Position Overview

At Foundation Building Materials (FBM), an Administrative Assistant is responsible for first impressions and is capable of multi-tasking while successfully maintaining the highest level of customer satisfaction to both external and internal customers.  At FBM we believe in doing business with integrity and being the Company of Choice for both our customers and our team.

Responsibilities and Qualifications

 

Key Responsibilities
Operations
  • Demonstrate and actively support FBM’s core values, including Safety, Customer Focus, Teamwork, and Integrity, while contributing to a culture that reflects a "Company of Choice" for both employees and customers
  • Maintain a high standard of professionalism in all daily activities, ensuring alignment with company expectations and operational excellence
  • Assist in creating a safe, organized, and efficient work environment by following established processes and procedures

 

Customer Service
  • Serve as the first point of contact by professionally answering incoming calls, screening inquiries, and directing callers to the appropriate team members in a timely manner
  • Greet, assist, and direct visitors, ensuring a positive and welcoming experience that reflects FBM’s commitment to exceptional customer service
  • Communicate clearly and effectively with internal teams, customers, and vendors through verbal, written, and interpersonal interactions
  • Build and maintain positive working relationships by providing responsive, courteous, and solutions-oriented support

 

Administration
  • Organize and maintain both physical and electronic filing systems, ensuring documents are accurately filed, easily accessible, and up to date
  • Scan, upload, and manage records to support proper documentation and compliance with company standards
  • Perform data entry with a high level of accuracy, including processing invoices, updating systems, and maintaining records
  • Receive, sort, and distribute incoming mail and correspondence promptly and efficiently
  • Prepare shipping materials, including labels and documentation, and coordinate pickups with carriers such as FedEx and UPS to ensure timely delivery
  • Support general administrative functions and assist team members with day-to-day clerical needs as required

 

Additional Responsibilities & Miscellaneous
  • Perform other duties as assigned to support administrative and corporate objectives
  • Be proactive and able to work independently
 
Qualifications
  • 2+ years of administrative or clerk experience supporting branch staff in a fast-paced environment preferred

The listed pay range reflects the expected base rate for this position. Within the range, individual pay may vary based on experience, qualifications, and work location within state.

This is a full-time position with competitive pay and benefits.

  • Base: $20.00 - $25.00 CAD per hour
  • Equity: This role is not eligible for equity opportunities, awards or grants.
